TRAVEL TERMS

Terms & Conditions

Effective date: 16 September 2026

These Terms & Conditions apply to travel enquiries, quotations, bookings and services arranged by Gratlas Voyager Ltd (“Gratlas Voyager”, “we”, “us” or “our”). A booking may also be subject to the specific terms of the airline, hotel, cruise line, tour operator, transport provider or other supplier providing the service.

1. Enquiries and Quotations

  • Information on the website is provided for general travel-planning purposes and may change according to availability, season, supplier conditions, exchange rates, taxes and other factors.
  • A quotation is not a confirmed booking unless we expressly confirm the booking and any required payment has been received.
  • Prices, availability, itineraries and inclusions should be checked in the quotation or booking confirmation before payment.

2. Booking and Payment

Unless your quotation states otherwise, a 30% deposit is normally required to confirm most travel arrangements, with the remaining balance normally due 45 days before the travel start date. Bookings made within 45 days of departure may require full payment at confirmation.

Some suppliers require higher deposits, earlier settlement or full payment. The payment schedule stated on your quotation or booking confirmation will take precedence for that booking.

3. Supplier Terms

Gratlas Voyager may arrange services provided by third parties. Airlines, hotels, cruise operators, transport companies, lodges, activity providers and other suppliers may have their own conditions relating to payment, cancellation, amendments, refunds, baggage, check-in, minimum ages, health requirements and other matters. Those supplier conditions may apply to your booking and will be communicated where relevant.

4. Travel Documents, Visas and Entry Requirements

Travellers are responsible for providing accurate passenger information and for having valid passports, visas, permits, vaccination or health documentation and other documents required for their journey. Entry requirements can change. We can assist with travel-planning information, but travellers should verify requirements with the relevant authorities and carriers before departure.

5. Travel Insurance

We strongly recommend appropriate travel insurance covering cancellation, medical expenses, emergency assistance, baggage, delays and other risks relevant to your journey. Where a supplier or destination requires insurance, the traveller must meet that requirement.

6. Changes and Cancellations

Requests to change or cancel a booking should be made as soon as possible. Unless the quotation or supplier terms specify otherwise, our standard cancellation schedule is: 61 days or more before departure — 30% cancellation charge (deposit forfeited); 60–31 days — 50% of the total booking value; 30 days or less — 100% of the total booking value; no-show or cancellation after travel has commenced — 100% of the affected booking value.

Supplier-specific charges may be stricter, particularly for flights, cruises, peak-season accommodation, permits, special events and promotional or non-refundable fares. Where disclosed in the applicable booking terms, non-refundable supplier costs, payment charges or cancellation fees exceeding the standard schedule may be passed on to the traveller.

7. Changes by Suppliers or Events Outside Our Control

Travel arrangements can be affected by weather, natural events, strikes, airline or cruise schedule changes, government action, border restrictions, security events, health emergencies, supplier operational issues and other circumstances outside our reasonable control. Where this happens, we will assist with available alternatives and communicate relevant supplier options, subject to the terms of the affected booking.

8. Traveller Responsibilities

  • Provide accurate names, dates, passport details and other information required for booking.
  • Pay amounts by the stated deadlines.
  • Follow reasonable instructions from suppliers, guides, carriers and accommodation providers.
  • Respect local laws, customs, wildlife rules, safety requirements and property.
  • Tell us promptly about accessibility, dietary or other requirements that may affect arrangements.

9. Website Information

We make reasonable efforts to keep website information accurate and useful, but destination information, photographs, schedules, availability, prices and supplier offerings may change. The final confirmed itinerary and booking documents take precedence over general website descriptions where there is a difference.

10. Complaints and Dispute Resolution

If you have a concern about a service, please contact us promptly so that we have a reasonable opportunity to assist. We will seek to resolve complaints fairly and in accordance with applicable law and the relevant supplier arrangements. Where a dispute cannot be resolved directly, the parties may use any applicable alternative dispute-resolution process or the courts or other forum with lawful jurisdiction.

11. Governing Law

These Terms & Conditions are intended to be governed by the laws of Kenya, subject to any mandatory rights or protections that apply to a particular traveller or transaction.
